Group Ride Planning Checklist
Use this checklist when organizing a club ride, charity event, or casual group outing. Share it in forums and newsletters — and create your ride on Moto Band for a linkable event page with RSVPs, chat, and navigation.
1. Define the ride
- Pick a date, meeting time, and rain/sunshine policy
- Choose a meeting point with parking for multiple bikes
- Set expected distance, duration, and riding pace
- Decide on a no-drop policy and sweep rider
2. Plan the route
- Scout fuel stops every 120–150 km (or more often in remote areas)
- Mark lunch/coffee stops with capacity for a group
- Avoid rush-hour urban segments when possible
- Share the route in advance so riders can prepare
3. Publish and promote
- Create a shareable event page with a permanent URL
- Post the link in your club website, Facebook group, and newsletter
- Include what to bring: gear, cash, emergency contact
- Open RSVPs at least one week before ride day
4. Before ride day
- Confirm headcount three days before
- Share final meeting time and any route changes in group chat
- Assign a lead and sweep rider
- Check weather and communicate a go/no-go cutoff
5. Day of the ride
- Arrive 15 minutes early for a brief safety chat
- Confirm everyone has fuel and knows the first waypoint
- Share navigation links (Google Maps / Waze) for the full route
- Agree on hand signals and stop intervals
6. After the ride
- Post photos and thank participants
- Note what worked and what to improve for next time
- Archive or update the listing for future reference
